    The DIY Builders' VAT claim form says invoices "should normally be in your name". Some of our cash account purchases have invoices that only mention the address of our build, and not our name. Do you know if this is acceptable? I've been trying to phone the enquiry line for days - and it's always busy, even after 5pm. So your help would be much appreciated.

    We had the same issue with some invoices even having the name and address of third parties on them.

    These we listed with an explanation note as to why they were not in our name and every one was accepted.

    The VAT inspectors do not have the time to inspect every invoice (some 500 in our case) so if you provide a neat tidy file fully cross referenced they will perhaps look at 5% of the in voices and then pass the lot.

    however if you send in an envelope of invoices not in order and not properly cross referenced then expect trouble

    An update and a question - I'm about to submit our VAT claim. When I called them to check, I was told that the reason for taking a copy of the file was that, should it be lost in transit, "you can contact all the sellers and get original duplicates of invoices. We only accept originals." So I'm going to get £10K insurance cover (the max) from the post office, and then, if the files gets lost, I can claim the insurance, and resubmit just the large invoices by contacting the sellers.

    In terms of my question, I had seen some information that said I didn't need a name and address on invoices that were less than £100 eg from small items from B&Q. I've now checked the newest form VAT431NB and it asks for your name and address on all invoices. Does that mean I can't submit invoices from B&Q, Wickes, etc?

    We submitted a few tatty receipts from B&Q, Wickes, etc. in 2011 and all went through OK . We, sorry I should say my partner, arranged them all neatly in a folder. We managed to forget all the receipts from one builders' yard but fortunately, because Vat man hadn't quite processed our claim, I was able to add them. phew!

    I'm not sure the 10K insurance would work - wouldn't you have to prove it was worth that?

    Thanks, Robin, that is good news. Not sure how the post office insurance works. Hope we don't have to use it.

    There really should be a way to sue b*ggers like that! If a commercial firm lost documents after signing a receipt for them, public opinion, and probably the law, would force them to honour your backup copy. Only the government (I was going to write HMRC and then realized other departments would be just as cheeky) could even dream of making their incompetence your problem.

    I'd have thought the backup copy of the invoices would be more than plenty evidence for an insurance company to pay up. Or else appear in the Sunday Times money pages ...

    One more question, please - they want "plans [to] show what your completed property looks like. You will need to send us copies of:
    • the external elevations (what your property looks like on the outside)
    • internal layout plans of all floors (what rooms your property contains)."

    Do I need to send plans that have the Council stamp on them? Or just our designer's drawings submitted with the planning application? The VAT office is still engaged so I can't get through.

    For info - I got through to the VAT office. They say they'd like the plans stamped by the Council - to show submission is linked to approval.

    And B&Q etc receipts, below £100, without name and address, are fine.
